REQUEST FOR QUOTATION

 

Quotations are hereby requested for Provision of 2X heavy duty copier rental service for a period of 9 months: according to the specification:

  1. Rental of 2 X heavy – duty photocopier machines (top and bottom floor copiers) to the CHDA for 9 months, with the following minimum functionality / capabilities:
  • 30 pages per minute copy / printing speed
  • Copy, scan, printing, and faxing functions
  • 50 page document feeder
  • Double side printing in A4 and A3 sizes
  • Fax function setup to existing Telkom line
  • Scanning to email and scan folder
  • 1000 sheet booklet finisher
  • Document stapling function
  • Document punching function.
  • Two x 550-page paper banks
  • Sorting and collating function
  • Color and black/white printing, copying and scanning capability, with an estimated 6% print coverage
  1. Technical Support Requirements:
  • Machine maintenance at required intervals.
  • Reactive callouts on copier breakdown to office in Queenstown
  • Supply and delivery of colour / black and white toners as and when needed.
  • Downtime management, and replacement of faulty equipment with stand – in / loan equipment to minimize productivity disruptions.

COMPULSORY SUBMISSION DOCUMENTS, EVEN IF THEY WERE SUBMITTED BEFORE.

  • Submit a copy of the National Treasury Central Supplier Database (CSD) registration summary report.
  • Service providers should also complete & submit the MBD 4 form to declare the interest of the Directors of the Company.
  • Submit a valid Tax Clearance Certificate /Pin
  • If a supplier is not a VAT vendor, VAT must not be included, otherwise all the prices must include VAT.
  • Callouts response time must be less than one hour
  • The service provider must submit confirmation that had insured the copiers for leasing purpose. 

 

 

Evaluation criteria (Only applicable to quotations equal to/ above R2 000.00)

  • This is an 80/20 preference points system.
  • Price is allocated up to 80 points & 20 points will be allocated as follows:
  • Black ownership (Max. 10 points)
  • 10 points for black owned company, confirmable by proof of CSD registration and certified ID copy(ies) of entity’s director(s)
  • Nil points for no black ownership
  • Locality (MAX. 5 points)
  • 5 points will be allocated to service providers within CHD jurisdiction, confirmable by valid proof of address/lease agreements/rates account statement
  • Nil points outside CHD jurisdiction.
  • Youth ownership (Max. 2.5 points)
  • 5 points, confirmable by proof of CSD registration and certified ID copy(ies) of entity’s director(s)
  • No points if above age of youth
  • Disability (Max. 2.5 points)
  • 5 points for the people living with disabilities, confirmable by certification document from a medical practitioner.
  • Nil points for people with no disabilities.
